Inter-University and Inter-Faculty Agreements

The selection process for academic staff and PhD student mobility within direct inter-university cooperation for the calendar year 2026 has been launched.

Completed applications can be submitted either electronically (by sending them to nikola.meryova@ff.cuni.cz) or via the faculty mailroom (addressed to Nikola Meryová, ZO, Room 128).

INTER-UNIVERSITY AGREEMENTS

· only those involving the Faculty of Arts, Charles University (FF UK) can be utilized

· the conditions for concluding new inter-university agreements are the interest of at least two univesities and the submission of specific proposals for collaboration

INTER-FACULTY AGREEMENTS

· if you are interested in concluding a new interfaculty agreement, please contact the International Relations Office

  • this type of mobility is suitable for academic and research staff employed in a regular work contract with FF UK (not external collaborators) and doctoral candidates
    • different rules apply for doctoral candidates, particularly regarding funding
  • the conditions and procedures listed here apply only to Germany, Finland, Latvia, Poland, Slovakia, and Greece
    • for other countries, the agreements are only framework agreements and do not specify conditions for academic stays or provide funding – for more information about these specific agreements, please contact the faculty coordinator (Mgr. Nikola Meryová, nikola.meryova@ff.cuni.cz)
  • funding
    • the sending university covers the travel expenses (round trip, but not local transportation, eventually travel insurance).
    • the receiving university covers meals and accommodation (usually through lump-sum per diems) – confirmation of per diem amount needs to be provided
  • short-term research stays (1-3 weeks)
  • only agreements that specifically govern academic mobility can be used – the conditions are defined by the specific agreement
    • the number of academic mobility opportunities in these cases is defined by the specific contract (number of days and people per year), subject to reciprocity and current financial conditions at both universities
    • participation in academic mobility is not automatic or guaranteed

The applicant contacts their current or potential academic partner at the partner university abroad and negotiates the specific content and purpose of the planned visit. Based on this agreement, the applicant prepares a complete application in one original copy including the following:

  • Academic Visitors Application (“AVA”) –  scan with the signature of the applicant and the head of the institute/department
  • a signed invitation letter on a headed notepaper from a scientific partner at the partner university confirming their agreement with the purpose of the applicant’s stay
  • justification for multiple stays (in cases where one applicant is applying for more than two trips to one country in a calendar year)
  • Personal data consent
  • in the case of Jagiellonian University in Krakow, the passport number or ID number must also be added

Applications for short-term visits must be submitted each autumn for the following calendar year.
In the case of visits to non-European countries, the work plan may be submitted later (but no later than 3 months prior to departure).

  1. Faculty of Arts, CU
    • the application meeting all requirements must be approved by the head of the institute/department (via signature on the AVA form)
    • the Vice-Dean for International Relations makes the final selection in the faculty-wide selection round
    • application deadline: December 15
  2. CU’s Rectorate
    • the International Relations Office of the Faculty of Arts forwards applications approved and signed by the Vice-Dean according to the type of agreement either directly to the foreign university or to the Rectorate of Charles University (RUK)
    • the Vice-Rector for International Affairs makes the final selection in the university-wide selection round
    • application deadline: December 17, 2025
  3. Partner University
    • nominations submitted by the Vice-Rector are subject to approval by the partner university’s Rectorate
    • accepted nominations are typically communicated via the International Relations Office in January or February
    • once the stay is approved by the partner institution, selected academic staff members arrange the exact travel dates with their academic partner and immediately report them to the faculty coordinator at the International Relations Office of the Faculty of Arts

For non-European countries, applications are processed individually throughout the year, but always at least 3 months prior to departure (or earlier in case a visa is required).

After official approval, the academic staff member must arrange a travel order (“Cestovní příkaz”) signed by the head of their unit/Dean’s office/direct supervisor AND the head of the International Relations Office.

If travel expenses are covered by the International Relations Office, the travel order (“Cestovní příkaz) must be submitted for signature to the head of the International Office (before departure and again after return).

Each trip must be settled with the Finance Office. Instructions and templates for reimbursement can be found on the Intranet of the Finance Office (EO).
