Once malicious code has been detected, the message delivered to the electronic address of the mailroom is not processed further. The sender is not informed. In the case of mass-distributed unsolicited messages (e.g., of an advertising nature) or messages sent from an email address that is assessed as fake, i.e., messages generally referred to as “spam,” the email message will not be further processed and the sender will not be informed of this fact.

On the other hand, requested advertising messages and correspondence of a commercial or private nature will not be considered spam.

The maximum size of files received via the electronic mailroom is 10 MB.

The maximum size of an accepted data message is 20 MB.

Only one electronic submission may be stored on a single medium. The medium is part of the submission. It may only be returned upon express request made at the time of delivery to the filing office, provided that the data file to be played back is no larger than 10 MB. The registry will check whether the document delivered in digital form on the carrier is complete, can be displayed in a user-friendly manner, does not contain malicious code, and is in a data format that is permitted for the receipt of digital documents.

If a data message is found to contain an incorrect data format or computer program that could cause damage to the information system, or if the data message is otherwise damaged, incomplete, in a format other than that specified above, or unreadable for other reasons, the data message cannot be accepted and processed. Information about this fact may not be delivered to the sender due to the data message being intercepted by the security features of the Internet connection used.

If the delivered document in analog or digital form is incomplete or illegible, it cannot be displayed in a user-perceptible manner, and furthermore, if the document is in a data format other than those specified above or is not stored on the technical data carrier specified above, and yet it is still possible to identify the sender and their contact details from the document, the sender will be informed of any defects in the document and will be given a reasonable period of time to remedy them. If the defect in the delivered document cannot be remedied in cooperation with the sender, the document will not be further processed. If it is not possible to identify the sender of the delivered document and their contact details, or if the document contains malicious code, the document will not be further processed.
